This Privacy Policy explains how Sure As Ship (“Sure As Ship,” “we,” “us,” or “our”) collects, uses, discloses, and safeguards personal information in connection with our websites and services (the “Service”).
1) Scope
This Policy applies to the Service where it links to or references this Policy. It does not apply to third-party websites or services, including couriers and payment processors, which have their own privacy practices.
2) Personal Information We Collect
- Account Information. Name, email, phone, company, and addresses you provide to register and manage an account.
- Shipment & Tracking Information. Shipment details (e.g., ship-to/ship-from, weight, dimensions), tracking events, and related courier/billing amounts necessary to operate the Service.
- Support & Communications. Information you provide in tickets or communications, and essential service notifications we send you.
- Technical Information. System logs, IP address, device and browser details collected to secure and operate the Service. We do not use this for advertising or behavioral analytics.
- Payment Information. We do not store payment card numbers on Sure As Ship systems. If/when payments are enabled, they will be processed by a third-party payment processor (e.g., Stripe) subject to that provider’s privacy policy.
3) How We Use Personal Information
We use personal information solely to operate and provide the Service, including to:
- Authenticate users and manage accounts;
- Create, process, and track shipments and labels with couriers;
- Send essential, service-related emails (e.g., account notices, shipment updates);
- Provide support, prevent fraud, secure the Service, and comply with legal obligations.
We do not use personal information for marketing or advertising, and we do not sell personal information.
4) How We Share Personal Information
- Couriers. We share shipment and necessary contact details with couriers to arrange pickup, transit, and delivery.
- Service Providers. We may use vendors (e.g., hosting, email delivery, customer support tools) who process data on our behalf under contractual confidentiality and security obligations.
- Payment Processors. If payments are enabled, your payment details are provided directly to the processor; Sure As Ship does not receive or store full card numbers.
- Legal & Safety. We may disclose information if required by law or to protect rights, safety, and the integrity of the Service.
- Business Transfers. In connection with a merger, acquisition, or asset sale, information may be transferred as permitted by law.
5) International Transfers
We are based in Canada, but some service providers may process data outside your province or outside Canada. By using the Service, you acknowledge such transfers and that protections appropriate to the nature of the data will be applied.
6) Retention
- Account Profile Data. Kept while your account is active. Upon verified request, we will delete profile data (e.g., name, email, phone, saved addresses), subject to the exceptions below.
- Transaction Records. Shipment, invoice, and related records are retained for up to 7 years to meet legal, tax, audit, and fraud-prevention obligations.
- Refund & Cancellation Records. Cancellation requests, refund amounts, and related payment processor data are treated as part of transaction records and retained for the same period to ensure transparency, auditing, and compliance.
- Security Logs. Retained for a limited period (typically up to 12 months) to ensure the security and integrity of the Service.
7) Your Rights & Choices
Subject to legal limitations, you may request access to or correction of your personal information, or request deletion of your profile data. You may also withdraw consent for non-essential processing; however, certain information is required to provide the Service or to comply with law.
If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada for guidance or to file a complaint.
8) Security
We implement reasonable administrative, technical, and physical safeguards appropriate to the sensitivity of the information we process (for example, encryption in transit, access controls, and backups). No method of transmission or storage is fully secure, and we cannot guarantee absolute security.
9) Cookies & Similar Technologies
We use only essential cookies and similar technologies necessary to operate the Service (e.g., to keep you signed in and maintain session security). We do not use advertising or analytics cookies.
10) Children’s Privacy
The Service is intended for individuals who can enter into a binding contract. We do not knowingly collect personal information from children under 13. If you believe a child has provided personal information to us, please contact us so we can take appropriate action.
11) Governing Law
This Policy is governed by the laws of the Province of Ontario, Canada. Where applicable, additional rights may arise under Canadian privacy laws.
12) Changes to This Policy
We may update this Policy from time to time. If changes are material, we will provide notice (e.g., in-product notice or email). Your continued use of the Service after the effective date constitutes acceptance of the updated Policy.
